Trip 2020 Cancellation

Greetings Senior Parents and Students,

In our previous cancellation memo, we had let you know that our travel agency had been able to negotiate refunds from all of our vendors and that a complete refund will be provided for all students that were going on the senior trip. The agency had provided me with hopes that they would be able to have the refund ready to provide the district for mid-May. Earlier this week, I spoke with the agency and the refund process is taking longer than anticipated. The travel agency is processing refunds as quickly as possible but stated that the refund process is taking as long as 60 days from the anticipated date of travel. They have assured me that they are working with Disney, Universal, and the other related vendors to move the refund process along as quickly as possible. As you can imagine, with the volume of refunds and cancellations being processed, this is causing a delay receiving refunds from all the vendors involved. Once the travel agency receives these refunds, they will be provided to the district so that we can issue you the refund as quickly as possible.

We will continue to update you as this process continues. Once we receive the refund check, the district will begin to process and distribute refunds to each of you. Please make sure that your telephone number, email addresses, and home mailing address is correct in the Skyward system to ensure we can keep the lines of communication open and cut down on any further delays in processing your refund. If you have moved or changed phone numbers or email addresses, please make sure to update them with the district. Additionally, please continue to utilize and monitor the Remind app for additional information as the process continues.

Your continued patience and cooperation are greatly appreciated throughout the process. We realize this is a considerable amount of money and assure you that a complete refund will be processed and provided to you as soon as humanly possible. This has been and continues to be a unique situation.

Senior Parents and Students,

 

As an update up to our message yesterday, we learned late Thursday afternoon that the travel agency, World Class Vacations, has been able to successfully work with Southwest Airlines to provide our senior trip students with a full and complete refund for the senior trip.

There are still several details that still need to be worked out with several of the vendors, the travel agency, and setting up the process we will be using to disburse those payments once the funds are received by the senior class. The travel agency has assured us they will do whatever they can to expedite this process but are at the whim of the multitude of vendors we have contracted with to provide airfare, bus service, overnight security for the hotel, and photography just to name a few. They are hopeful that they will be able to have the process completed and have a check to the senior class by mid May. As additional information becomes available, we will share it with you.

The most important thing we are asking for from all of you is patience as we go through this process. The senior class has never been in a position that our trip has been cancelled and a refund has to be issued. This has been and will continue to be a learning experience for Mrs. Jeffries and I. I am certain that we may not have the answer to every question that is being asked. However, you can be certain that we will do whatever we can to try and get an answer to your question in a timely manner.

This was an exceptionally difficult decision for Mrs. Jeffries and I to make. As we have previously mentioned, the timing of this pandemic has made many of the most important and memorable events in our students’ senior year be cancelled. Both of us had been holding out hope that as time progressed this pandemic would ease and that we would be able to hold the trip as scheduled to try and provide one event for our seniors to look forward to attending. Despite our very best intentions, our number one priority is to ensure the health, safety, and well being of our students. With our students well-being in mind, the choice was simple. With Pennsylvania Governor Tom Wolf closing our school indefinitely combined with the stay at home order he issued, our choices became limited. Combine this with Florida Governor DeSantis issuing a similar stay at home order, Disney laying off employees, and an uncertain reopening date of Walt Disney World Resort, we felt as if there was no choice but to cancel the trip.

Senior Parents and Students,

 

Since the entire COVID-19 situation began back in February, Mrs. Jeffries and I have been in constant communication with the travel agency for the latest news and update regarding the Annual Senior Trip to Disney World and Universal Studios to Orlando, Florida. With Governor Tom Wolf’s recent declaration that PA schools are to remain closed indefinitely along with guidance from the Center for Disease Control (CDC), the PA Department of Health (PADOH), and the World Health Organization (WHO); Mrs. Jeffries and I have had some very tough discussions with the travel agency.

 

It is with a heavy heart and a great deal of disappointment that Mrs. Jeffries and I are announcing that the Class of 2020 Senior Class Trip has been officially cancelled. I know this is not the news many of our senior students and families wanted to hear. However, this decision has been made with the health, safety, and welfare of our students in mind. We have waited as long as possible in hopes that this situation would improve and allow us to conduct the trip as scheduled. However, the situation has not improved and does not necessarily look as if it will be any better by the time of our trip.

 

Our travel agency, World Class Vacations, has been wonderful and most accommodating to us throughout the process. We have been in constant communication in regard to the trip and guidance that has been sent out by Disney and Universal Studios. They have been able to work with Walt Disney World Resort to secure us a refund for the hotel and park tickets and Universal Studios for our park tickets. At this time, they are going to offer a refund to us for the money paid towards the trip minus the cost of the airfare. At the time of this letter, Southwest Airlines is offering a redeemable travel voucher to each of the students that would have attended the trip. The agency is still in active negotiations with Southwest Airlines and has let us know that a cash refund for the airline tickets is rather unlikely. When more details are known in regard to the airline voucher or refund, we will communicate them to you.

 

We have been in touch with the school business office and will be working out the procedure for getting the refund out to you in the coming weeks. Once the refund is processed, we will get it out to all of you as soon as possible. Please make sure to check the Remind app for more details as well as the senior class website.

 

Mrs. Jeffries and I would like to thank everyone for their patience and continued cooperation in this matter. We have been doing our best to address parent and student questions and concerns throughout the COVID-19 situation. We will continue to communicate with you throughout the refund process.
